Dental Educational Supervisor Portal Information
Applications for becoming an Educational Supervisor, are now being handled by a new online process. All applicants, new or current ESs, are invited to log-on to the Dental Educational Supervisor Portal. You can log-on to the portal via a computer, there is a link button button at the top of the page, or via an app on your mobile device. The portal is for Educational Supervisors in all of our primary care training programmes: Dental Foundation Training, Joint Dental Foundation and Core Training, Dental Therapist Foundation Training and the Integrated Dental Care Programme. The portal is now a continuous process and many sections of the portal will remain permanently open for you to amend and update..
New applicants should log in using an nhs.net email address. (Once logged in, you will need to complete a registration request form within the portal for NHS security reasons) and submit an application. Then, following a visit and report from a Training Programme Director, the application will be assessed by an independent panel. Current Educational Supervisors must use the portal for reapplication and for completing your annual Performance Review.
No applicants will be interviewed, the information you are asked to provide in the portal will be reviewed by the Selection Panel.
Information and Guidance
The Dental Educational Supervisor Portal is a place for you to enter information about yourself and your experiences, and details of the practices in which you work in order to enable you to be appointed as an Educational Supervisor for dental training in NHS England. You can use it most easily on a computer via a web-browser, but you can also open it in a mobile device, tablet or phone, (though it may appear very small on a phone) Microsoft Power Apps app, and then when you have logged in to that, search for the Dental Educational Supervisor Portal
Getting Started
The portal has several sections, each dealing with different aspects of information about you, your practice, your experience, your working hours and other details of your NHS dental career. Each section is opened from the panels on the Home page, and you can navigate back to the Home page easily using the small Home icon at the top right of each page. To leave the portal, there is an Exit icon at the top left of each page.
Enter all information about yourself that is requested. You can return here at any time to update this as your circumstances and experiences change. Please be sure to keep the probity questions up-to-date. The date of your updating each section is noted at the top of the page.
Your CPD
NHS England WT&E requests some core CPD subjects to be kept up-to-date. In this section you are asked to upload an image of your current certificates for each of these subjects, and also to enter the date it was awarded. Please note you cannot upload the actual document, but only an image. To do this if you are using the portal on a mobile device, you can use the mobile device to take a photograph and upload it. If you are using a computer you may need to use the clipping tool to save an image of the certificate. (open the snip by using Shift + Windows Key + S in Windows or Shift + Command + 4 on a Mac) You need to enter the date of gaining the certificate in the portal, and when the certificate is becoming out-of-date, you will be given a warning.

Teaching Experience
New Applicants will be given access to a section about your Teaching Experience. There is no interview in the application process, so this section is here for you to provide the selection committee with a good understanding of your skills, experience and capabilities in Education and Training. There are several questions to be completed and each of them explores a different area of educational support. Please take your time over this section and answer in your own words, giving examples where asked. You have about 250 words in each section. You can save your work as you go, and you can return to the page to add more. However, once the submit button is pressed and confirmed, the page becomes locked and no further alteration is possible.
Performance Review
Current Educational Supervisors will see a Performance Review section. This needs to be completed by all current Educational Supervisors, whether or not you wish to continue next year as an Educational Supervisor. This section asks you to reflect upon your experiences as an Educational Supervisor over the last 12 months. Please think about the methods you have used with your trainees to measure and assess their experience, confidence, and competence, and how you have provided educational and learning experiences for them. When you answer the questions in the review, please provide full information and supporting examples where possible. You have about 250 words per question.
Practice and Facilities
Before providing information about your practice, you will find that you need to link it to your account. To do this click on the Link and Unlink Practices button on the Practice Information page. Now find the ODS number (Organisation Data Service) of the practice by clicking on the ODS Data Search button. Click on ‘Advanced’ and add the practice postcode. You will then be able to identify the practice's ODS number from the list. Return to the portal app and enter the ODS number of the practice in the box and then click on Check ODS button. A new web page will open to confirm your correct entry. Return again to the portal app, and click on the Submit button and the practice will be linked. If you work at more than one practice, add additional practices in the same way.
In the Practice and Facilities section, you will find three tabs at the top of the page, each opening forms that ask for different information about the practice, its surgeries and equipment. These forms will remain unlocked and as your practice changes and develops, you can return to this section and update the information. It does not get locked when you submit your application.
Under the Practice Address tab, you will find a link to download the NHSE EoE Practice and Person specifications for Dental Foundation Training. There is also box in the form asking for the Practice Manager's email address. This is to aid communication between NHSE and the practice when issues arise. The Practice Facilities tab includes a box to enter the CQC Location ID number for each practice. This is usually the number that appears on the practice CQC registration documents. When you have entered it, you can use the checking button to confirm that the correct number has been entered. If it is not correct, please use a web search facility to find the correct number. When it has been entered and saved correctly, the check button will open the CQC report page for your practice. This tab also asks you to add two pictures, one of the exterior of the practice and one of the practice reception area. These can be added from a picture stored on your computer or if you are using the portal on a mobile device, you can use the mobile device to take a photograph and upload it. The Practice Equipment tab has questions about items of equipment within the practice. There are specific requirements for training practices and you can open a list of these, and also download a pdf file copy so that you can check things within the practice. The requirements for Dental Therapist Foundation Training are slightly different from those for Dental Foundation training, and both lists are available. If some items are not present, please list them in the form and give an estimate of when they will be available. These things will be checked at a practice inspection. You are also asked to provide a photograph of the trainee's surgery.. Please supply one which shows a good view of the facilities of the room
Practice NHS Contract
This section asks for details about your contractual status within the training practice(s) and your managerial responsibilities. Please provide as much information as possible.
Working Hours
If you are currently an Educational Supervisor, this section will present you with information about your current training status. There is also a timetable to show your working hours. Please complete this, indicating your location for each session and also your hours of working. If you are working with one or more Joint ESs, their timetables will also appear, but they will show the times and locations entered by themselves. There is a timetable for your current trainee's working hours and you will need to ensure that this has the correct information entered. Below the Trainees timetable is an area where you can add timetables to show the working hours for other dentists who are available to provide cover for the trainee in the absence of you, or any Joint ESs. To do this, enter their GDC number and if they are not already known to the system, you can add their name and full details of their clinical and educational experience to warrant their ability to provide clinical support for the trainee.
New applicants will find that they are presented with a form asking for information about plans for next year. Please fill in the requested information and then update the timetables as described. You will find that the dropdown box has a range of roles from which you can make a selection. If you are currently an Educational Supervisor you can reach this form by clicking on the 'Next Year' button at the top of the page. You will need to update the times for the trainee for the new year, but your pre-entered working times remain visible.
To be able to add Joint Educational Supervisors to your plan for next year, you will need to link other Educational Supervisors to your account. To do this, click on the Link Educational Supervisors button at the top of the Working Hours page and a panel will appear. You can now enter the GDC number of the Educational Supervisor in the box and then click on the Check GDC No. button. A new web page will open to confirm your correct entry of a GDC number. Return to the portal app and click on the Link button. They will become linked to your account and their name will appear. If they do not yet have an account, a warning box will appear. Their name will now appear in the drop down boxes on the Next Year form.
A very small number of Educational Supervisors have two educational roles e.g. working in different practices, with different trainees, or may have an additional role supervising an Integrated Cared Dentist. To cater for these circumstances, there is a Role button that allows you to switch to a second role and complete forms for that second role. This will probably not be needed by many people.
Agreements and Conditions
When you have completed all of the sections, you can go to the Agreements page and then submit your application for next year. Some sections will then become locked, but other sections will remain open to allow you to update information as your circumstances change through the year. This can be done at any time in the year but must be fully up to date at the next application deadline.
